To Whom It May Concern,

The EU4Georgia 4 Project is looking for Service Providers to provide event management and logistics services.

The maximum number of Service Providers with which the EU4Georgia 4 Project intends to conclude the Multiple Framework Contracts for Services is 3 (provided there are at least this number of qualified candidates).

Duration: March 2023 – May 2026

Objective of the call:
Provision of event management and logistics services during various communication activities aiming to increase public awareness and to better inform the public about EU and its activities in Georgia.

Conditions for qualification:
• Must have a minimum of 10 years' experience in provision of event management and logistics services.
• Must have at least 5 years of experience in cooperation and provision of services to international organizations and donor funded projects.
• Must have a background and at least 3 years of experience in organization of multi-language and multi-cultural events with more than 400 participants (at the forums, conferences, large-scale events) and more than 5000 participants (at the outdoor and indoor events, expos, etc.).
• Must have a strong track record of provision of logistic and event management services for different communication activities (events, workshops, conferences, meetings, forums, etc.).
• Must have the capacity to ensure provision of personnel needed for the medium and large-scale events (over 10 000 attendees’ turnover during the day at the several locations/venues).
• Have in-depth understanding of all logistics and protocols needed to ensure smooth implementation of the services.
• Proven experience in organization of different scale events in regions (indoor, outdoor).
• Experience in organization of press events, workshops, etc.
• Experience of working in a culturally diverse environment.
• Ability to operate under strict time limits, under pressure and apply high technical standards.
• Ability to be flexible and respond to changes as a part of the feedback process.

The services that will be requested:
• Support during communication activities (medium and large-scale events) planning, coordination and management through supporting staff (project manager, event managers, logistics coordinators, greeters, security staff, technical staff, cleaning staff, etc.).
• Transportation of items, set-up and dismantling services.
• Inventory/requisites provision services.
• Floral and plant decoration services.
• Warehousing/storage services (storage of constructions, installations, mobile pavilions, pop-up construction & branded inventory etc.).
• Other services associated with the overall event planning, coordination and management support.
